Happy Forms, Inc. ("we," "us," or "our") operates the TaxFunnel application and related services. TaxFunnel helps CPA firms collect, organize, and process tax documents from their clients. This Privacy Policy describes how we collect, use, and protect your information when you use our mobile application, web portal, and related services (collectively, the "Service").
2. Information We Collect
Personal Information
When your CPA firm invites you to the Service, we collect:
- Name, email address, and phone number (provided by your CPA firm or by you)
- Authentication data (magic link tokens; we do not store passwords)
Tax Documents
You may upload or photograph tax documents such as W-2s, 1099s, and other IRS forms. These documents may contain sensitive personal and financial information including Social Security numbers, income data, and employer information.
Bank Account and Transaction Data
If you choose to connect a bank or credit card account for bookkeeping, we use Plaid Inc. ("Plaid")to securely link your account. When you connect an account, Plaid collects information on our behalf — including your account name, account and routing numbers, account balances, and transaction history — and provides it to us so your CPA firm can keep your books. You enter your bank credentials directly with Plaid; we never see or store them. Your use of Plaid is also governed by Plaid's End User Privacy Policy.
Device and Usage Information
- Push notification tokens (Firebase Cloud Messaging) for sending you reminders
- Camera and photo library access (only when you choose to scan or upload documents)
- App activity timestamps (to optimize outreach timing and avoid unnecessary reminders)
- Device timezone (to respect quiet hours for notifications)
3. How We Use Your Information
- To provide the Service: collecting, classifying, and delivering your tax documents to your CPA firm
- To authenticate you via magic links (email or SMS)
- To send you reminders about outstanding documents via push notifications, email, or SMS
- To facilitate electronic signature of tax forms (e.g., IRS Form 8879)
- To retrieve and categorize your bank and credit card transactions for bookkeeping, when you choose to connect a financial account
- To improve and maintain the Service
4. Who Can Access Your Data
- Your CPA firm: The firm that invited you can view your uploaded documents, checklist status, and contact information.
- Happy Forms staff: Our team may access data for technical support, troubleshooting, and service maintenance.
- No sale of data: We do not sell, rent, or trade your personal information to third parties.
5. Third-Party Service Providers
We use the following third-party services solely to operate the Service. These providers process data on our behalf and are contractually obligated to protect it:
- Google Cloud Platform / Firebase: Data storage, hosting, authentication, and push notifications
- Twilio: SMS delivery for magic links and document reminders
- Microsoft 365: Email delivery (when your CPA firm uses Outlook)
- OpenAI / Anthropic: AI-powered document classification and data extraction
- Plaid: Securely connecting your bank or credit card accounts and retrieving account and transaction data (only when you choose to connect an account)
6. Data Storage and Security
Your data is stored on Google Cloud Platform in the United States. We use industry-standard security measures including encryption in transit (TLS) and at rest, access controls, and audit logging. Uploaded documents are stored in private cloud storage buckets accessible only to authorized systems and personnel.
7. Data Retention
We retain your data for as long as your CPA firm maintains an active account with the Service, plus any period required by applicable law or regulation. Tax documents are retained for the duration of the tax season and any applicable retention period set by your CPA firm. You or your CPA firm may request deletion of your data at any time.
8. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal information
- Opt out of push notifications (via your device settings)
- Opt out of SMS or email communications (by contacting your CPA firm)

9. California Privacy Rights
If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights regarding your personal information, including the right to know what data we collect, the right to delete it, and the right to opt out of its sale. 10. Children's Privacy
The Service is not directed at children under 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will take steps to delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised effective date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
